Party Affairs Coordinator (P/T)
Position Overview
The Utah Democratic Party is seeking a highly organized, discreet, and resourceful Party Affairs Coordinator to provide direct support to Party staff and the Party Chair. This position is part time.
This role functions like a junior project manager: someone who can juggle small tasks and large ones, keep details from falling through the cracks, and handle sensitive information with complete confidentiality. The ideal candidate is a fast learner, a clear communicator, and comfortable moving between big picture coordination and hands on errands.
Roles & Responsibilities
Administrative and Scheduling Support
Manage calendar, scheduling, and meeting logistics
Screen and manage phone calls, emails, and correspondence
Prepare materials, agendas, and follow up notes for meetings
Project Coordination
Track deadlines, deliverables, and action items across multiple ongoing projects
Maintain checklists and status updates for Party priorities
Follow up with staff, vendors, and partners to keep projects moving
Confidential and Sensitive Matters
Handle sensitive personnel, political, or donor related information with strict discretion
Exercise sound judgment on what requires immediate attention versus what can wait
Maintain confidentiality at all times, both internally and externally
Errands and Logistics
Run errands as needed, including shopping for office or event supplies
Coordinate deliveries, pickups, and vendor drop offs
Assist with event setup and logistics as needed
Expense and Office Support
Track and reconcile expenses, receipts, and reimbursements
Support basic bookkeeping tasks and expense report preparation
Maintain general office organization, supplies, and vendor relationships
Provide general administrative support across the office as needed
Other duties as assigned
Qualifications
Highly organized with strong attention to detail
Trustworthy and discreet, with demonstrated ability to handle confidential information
Strong written and verbal communication skills
Comfortable with phone based communication and professional correspondence
Able to manage competing priorities and shifting deadlines
Valid driver's license and reliable transportation for errands
Experience in political, nonprofit, or fast paced office environments preferred, not required
Familiarity with tools like Google Workspace preferred
Previous campaign, organizing, or field experience
Project management or events management experience
Strong organizational and time management skills
Familiarity with Utah’s political landscape and communities
Preferred Skills
Compensation
$22.00-25.00/hr depending on experience
This is a part time (up to 20 hours per week), non-exempt, temporary position
Hours worked over 30 eligible for 1.5x normal hourly rate (upon approval)
Flexible schedule with some availability for occasional evenings or weekends around events
Phone and computer stipend
